CHA Owner Portal: Changing Property Management vs. Updating Contact Information

The Chicago Housing Authority’s HCV Owner Portal allows property owners to maintain contact information, review their properties, and manage several administrative tasks online.

However, not every change involving a property owner or management company can be handled by editing a profile.

Changing your phone number is an account update. Replacing the company responsible for managing your property is a formal management change.

Confusing these procedures can create unnecessary delays.

Updating Your Email Address

CHA provides a dedicated option for updating the email address associated with a vendor number.

Open My Account and select Update My Email Address.

The page allows owners to edit the email information associated with their vendor records.

After making the changes, select Submit.

CHA’s published FAQ indicates that updates generally take one to two business days to appear.

This function is intended for contact information. It doesn’t transfer responsibility for a property to another management company.

Changing a Phone Number

The procedure for phone numbers is similar.

Under My Account, select Update My Phone Number.

CHA allows owners to edit the main, work, or mobile numbers associated with their vendor records.

The agency advises allowing one to two business days for the information to update.

Keeping these numbers current matters because CHA may need to contact owners about inspections, program requirements, or other property-related issues.

Updating a Business Address

Owners can also change their business mailing or physical address through the portal.

Select My Account, followed by Change My Address.

Enter the revised information and choose Submit Update Request.

CHA specifies that a post office box cannot be used as a physical address.

This feature concerns the business address associated with the vendor record. It shouldn’t be confused with changing the ownership or management arrangement for a rental property.

What If You Hire a New Property Manager?

This requires a different procedure.

CHA instructs property owners to report changes in property management as soon as management is added or removed.

The legal property owner must complete the Change of Ownership/Management Packet.

The packet is available through CHA’s official property owner resources.

The completed documents must be submitted to CHA Owner Services using one of the agency’s accepted submission methods.

Simply replacing an email address with the new manager’s address doesn’t satisfy this requirement.

Ending an Existing Management Agreement

CHA’s Property Owner Guidebook addresses situations where a property owner terminates a management agreement.

In these cases, the change submission must include a letter indicating that the agreement with the previous management company has ended.

This is important because CHA needs documentation establishing the change, not merely updated contact details.

A management transition should be reported even when the legal owner of the property remains the same.

What About Adding Staff to the Portal?

The CHA Owner Portal supports sub-accounts.

Owners can create them through My Account → Sub-Accounts, allowing members of their team to assist with property administration.

But adding a staff member to the portal is not equivalent to officially appointing a new property management company.

Sub-accounts provide an administrative capability within the portal.

Formal management changes follow CHA’s separate documentation requirements.

Multiple Properties and Vendor Numbers

CHA explains that owners with multiple vendor numbers can view their properties together when those records share the same email address.

This makes contact information particularly important for owners managing several properties.

However, a shared email address doesn’t mean that every property has the same management arrangement.

Owners should verify which vendor records and properties are affected by a requested change.

Why Formal Management Changes Matter

CHA’s official guidance warns that failure to report changes in ownership or management can create serious problems, potentially including termination of the Housing Assistance Payment contract.

This makes it important to distinguish routine account maintenance from changes affecting the property’s formal administration.

The portal may show updated contact information while a separate management-change request is still awaiting processing.

One should not be treated as confirmation of the other.

When to Contact Owner Services

CHA’s Owner Services Department assists property owners and managers with account changes and management documentation.

Before contacting the department, identify whether the request concerns:

  • An existing vendor’s email, telephone number, or business address
  • A staff member who needs a portal sub-account
  • A company being appointed or removed as property manager
  • A change in legal property ownership

These situations may require different procedures.

For a management change, ask which supporting documents are required for the particular property.

Two Different Administrative Processes

The cha owner portal provides convenient tools for maintaining everyday contact information.

Owners can update email addresses, phone numbers, and business addresses without treating those changes as a formal transfer of management responsibilities.

However, changing the company responsible for managing an HCV property requires CHA’s designated Change of Ownership/Management process.

When using the cha portal, first determine whether you’re updating an existing owner’s contact details or changing the property’s management arrangement. The distinction determines whether a simple My Account update is sufficient or formal documentation is required.
